aiINDEX is an Expert System that has been specifically designed to increase productivity, improve data accuracy and consistency in the process of indexing data in the OnCore Recording System. When using aiINDEX, the number of manual keystrokes for entering index data is drastically reduced, allowing the indexer’s attention to shift to verification and quality assurance while processing more documents in OnCore. These benefits are specifically gained by a technique called “auto-indexing”. Using this “auto-indexing” technique, aiINDEX literally reads every scanned document and:

• Identifies the type of document and counts the pages.
• QA’s the document for font type and margin standards.
• Automatically extracts relevant recorded information such as grantor(s), grantee(s), legal description, related documents, return to address and other user state-defined field regardless of where the information resides in the document.
• Presents the “auto-indexing” document and corresponding image to the user for verification.
• Walks the user through the verification process by automatically finding and highlighting the extracted information in the displayed image.
• Allows the user to approve the data or to use the aiINDEX rubber band feature to extract the data directly from the document.
• Provides an exception-based workflow process for image quality and staff questions.
• Exports the approved data directly to the OnCore Recording System.

SYSTEM ARCHITECTURE
aiINDEX employs the following combination of technologies to accomplish the “auto-indexing” of recorded documents:

• Advanced Learning Information – This is the method by which aiINDEX acquires knowledge which is used to identify document types and index fields. This information is acquired on an on-going basis by monitoring the history of the data entry process.
• Knowledge Base – The Knowledge Base is a repository of information acquired by the Advanced Learning Engine, storing a combination of relational and metadata information. The metadata is an electronic representation of the knowledge for identifying document types and the relevant index fields.
